Timetable for conference organization
One year before a conference edition (even years)
- mid-January: launch of selection process for conference site
- end of July: finalization of preliminary organization plan
- end of September: finalization of preliminary budget
- mid-December (or earlier): first announcement (& conference poster)
On the year of a conference edition (odd years)
- mid-January: launch of selection process for invited speakers
- end of February: finalization of selection process for invited speakers
- mid-March: confirmation of availability from invited speakers
- end of March: announcement of invited speakers (& send invitation letters)
- beginning of April: second announcement (& call for abstracts)
- mid-April: abstract submission opening
- end of April: early registration opening
- end of June: abstract submission closing
- mid July: notifications of acceptance to authors
- end of July: early registration closing
- beginning of August: post-deadline poster submission opening
