Timetable for conference organization

One year before a conference edition (even years)

  • mid-January: launch of selection process for conference site
  • end of July: finalization of preliminary organization plan
  • end of September: finalization of preliminary budget
  • mid-December (or earlier): first announcement (& conference poster)

On the year of a conference edition (odd years)

  • mid-January: launch of selection process for invited speakers
  • end of February: finalization of selection process for invited speakers
  • mid-March: confirmation of availability from invited speakers
  • end of March: announcement of invited speakers (& send invitation letters)
  • beginning of April: second announcement (& call for abstracts)
  • mid-April: abstract submission opening
  • end of April: early registration opening
  • end of June: abstract submission closing
  • mid July: notifications of acceptance to authors
  • end of July: early registration closing
  • beginning of August: post-deadline poster submission opening
  • end of August: post-deadline poster submission closing (& author notification)
  • mid-September: finalization of the conference timetable
  • beginning of October: conference days
  • beginning of November: manuscript submission opening
  • end of November: online publication of presentations

One year after a conference edition (even years)

  • mid-January: launch of selection process for conference site
  • end of March: manuscript submission from previous conference closing


Duties of Scientific Prgramme Committee (SPC)

The conference presentations are selected by the SPC thus:

  • Invited lectures are selected after short-listing nominations from SPC members and voting (invited speakers from previous 2 editions are excluded from nomination).
  • Oral contributions are selected after abstract submission and SPC voting among those submissions indicating preference for oral presentation.
  • Rejected oral contributions are proposed a switchover to poster presentation.
  • Poster presentations are accepted after abstract submission and quality assurance.
  • Session chairpersons are usually selected on site among the SPC members and senior participants.


Term of SPC members

The SPC isd partially renewed in each conference.

  • SPC chair: maximum term of 5 conferences (3 as member plus 2 as chair or vice versa).
  • SPC members: maximum term of 3 conferences
